This policy explains what personal information Communique Conferencing, Inc. ("Communique," "we," "us," or "our") collects when you visit or use the webinarplatform.net marketing website, how we use it, who we share it with, and the rights you have over it.

1. Scope of this policy

This Privacy Policy applies to information collected through the webinarplatform.net marketing website and related pages, and through interactions with our sales and support teams.

Use of the webinar platform itself by customers is governed by the applicable Master Services Agreement (MSA) and Data Processing Addendum (DPA), which describe our role as a data processor acting on behalf of the customer. When a customer runs a webinar on our platform, that customer is the controller of registrant and attendee data. We process it under their instructions.

Where this policy conflicts with an executed MSA or DPA between Communique and a customer, the MSA and DPA control for platform-related processing.

2. Information we collect

Information you provide directly

  • Account and contact information: name, business email, company, job title, phone number, and other business or contact information you submit through forms, sales conversations, or account registration.
  • Communications: the content of emails, chat messages, sales calls, and support tickets you send to us.
  • Event registration: if you register for an event we host (for example, a demo webinar), we collect the fields you submit at registration.
  • Content you submit: feedback, testimonials, survey responses, and any other content you voluntarily provide.

We do not collect or store transaction payment card data through the marketing website. Payment processing for platform contracts is handled through separate contracting.

Information collected automatically

  • Usage data: pages visited, referral URLs, time spent, interactions with page elements, and search queries.
  • Device and technical data: IP address, browser type and version, operating system, device type, screen resolution, language settings.
  • Cookies and similar technologies: as described in section 4.

Information from third parties

  • Analytics and enrichment providers: aggregated or attributed data from analytics providers, ad networks, and business intelligence platforms.
  • Publicly available sources: professional information from public business directories used for lead qualification and account research.

3. How we use information

We use the information described above for the following purposes, relying on the legal bases indicated in parentheses (relevant for individuals covered by the GDPR):

  • To provide and improve the website (legitimate interests).
  • To respond to inquiries and support requests (contract, legitimate interests).
  • To send transactional and account communications (contract).
  • To send marketing communications about products, features, events, and content (consent, or legitimate interests where permitted). You can opt out at any time.
  • To personalize content and target advertising (consent, where required).
  • To analyze aggregate usage and improve the website and platform (legitimate interests).
  • To comply with legal obligations (legal obligation).
  • To detect and prevent fraud, abuse, and security incidents (legitimate interests, legal obligation).

We do not sell personal information for money. See section 8 for CCPA/CPRA-specific rights.

4. Cookies and tracking technologies

We use cookies, local storage, and similar technologies for the following categories of purposes:

  • Strictly necessary: required for the website to function (for example, session state, security tokens).
  • Functional: remembers your preferences and settings.
  • Analytics: helps us understand how visitors use the site so we can improve it. Providers include Google Analytics.
  • Marketing and advertising: supports attribution and measurement of campaigns across the web.

You can control cookies through your browser settings and, where offered, through our cookie consent banner. Disabling non-essential cookies will not prevent you from using the website but may limit some features.

5. Sharing with third parties and sub-processors

We share personal information only for the following purposes:

  • Service providers and sub-processors: vendors that host our infrastructure, provide analytics, deliver email, manage CRM records, or otherwise support our operations. Vendors are contractually required to use personal information only to perform their services and to maintain reasonable security controls.
  • Legal and regulatory: when we believe in good faith that disclosure is required by law, regulation, court order, subpoena, or other legal process, or to protect the safety and security of our users, our systems, or the public.
  • Business transfers: in connection with a merger, acquisition, financing, or sale of assets, subject to the acquiring party continuing to honor this policy or providing equivalent protections.
  • With your consent: for any other purpose you have authorized.

We do not sell your personal information (as "sale" is defined under the California Consumer Privacy Act or equivalent state laws).

Customers acting as data controllers can request a current list of sub-processors used to deliver the webinar platform under the DPA.

6. Security and compliance

We take reasonable and appropriate technical and organizational measures to protect personal information against unauthorized access, disclosure, alteration, or destruction. Controls include:

  • Encryption in transit (TLS) and at rest.
  • Role-based access controls and least-privilege access.
  • Multi-factor authentication for administrative access.
  • Audit logging and monitoring.
  • Regular security assessments and penetration testing.

Communique Conferencing maintains ISO 27001 certification and is aligned with SOC 2, GDPR, and CCPA requirements. Enterprise customers can request current compliance reports and certifications through their account team.

No transmission or storage system is completely secure. If we become aware of a data breach affecting your personal information, we will notify you in accordance with applicable law.

7. Data retention

We retain personal information only as long as necessary for the purposes described in this policy, to comply with legal obligations, resolve disputes, and enforce agreements. In practice:

  • Marketing website inquiry records: retained for up to five (5) years from last interaction.
  • Support and account records: retained for the duration of the account plus a reasonable period afterward for legal, audit, and dispute-resolution purposes.
  • Aggregated and de-identified data may be retained indefinitely.

Customer-controlled webinar attendee data on the platform is retained according to the customer's configured retention and the terms of the DPA.

8. Your rights

General rights (all individuals)

You may request access to, correction of, or deletion of personal information we hold about you. Contact us using the details in section 13. We will respond within the timeframes required by applicable law.

Rights under the GDPR (EEA, UK, and Switzerland)

If you are located in the European Economic Area, the United Kingdom, or Switzerland, you have the following rights with respect to your personal information:

  • Right of access to your personal information.
  • Right to correct inaccurate or incomplete personal information.
  • Right to erasure ("right to be forgotten") in certain circumstances.
  • Right to restrict processing.
  • Right to data portability.
  • Right to object to processing based on legitimate interests or for direct marketing.
  • Right to withdraw consent at any time, where processing is based on consent.
  • Right to lodge a complaint with a supervisory authority in your country of residence.

Rights under the CCPA/CPRA (California residents)

If you are a California resident, you have the following rights:

  • Right to know what personal information we collect, use, disclose, and (if applicable) sell or share.
  • Right to request deletion of personal information we have collected about you.
  • Right to correct inaccurate personal information.
  • Right to opt out of the "sale" or "sharing" of personal information. We do not sell personal information for money, and we do not share personal information for cross-context behavioral advertising in a manner that requires an opt-out.
  • Right to limit use and disclosure of sensitive personal information.
  • Right to non-discrimination for exercising your rights.

To exercise any of these rights, contact us using the details in section 13. We may need to verify your identity before responding.

Do Not Track

Our website does not respond to Do Not Track browser signals. You can control tracking through your browser's cookie settings and our cookie consent banner.

9. International data transfers

Communique Conferencing is headquartered in the United States. Personal information we collect may be transferred to, stored in, and processed in the United States and other countries where we or our service providers operate.

When personal information is transferred out of the EEA, UK, or Switzerland to a country not covered by an adequacy decision, we use appropriate safeguards, including Standard Contractual Clauses (SCCs) approved by the European Commission and equivalent mechanisms for the UK and Switzerland. A copy of applicable SCCs is available on request.

10. Children's privacy

The webinarplatform.net website is not directed to children under the age of sixteen (16). We do not knowingly collect personal information from children under 16. If you believe a child has provided us with personal information, please contact us and we will delete it.

11. Third-party websites

The webinarplatform.net website may include links to third-party websites, plug-ins, and services. This Privacy Policy does not apply to those third parties. We are not responsible for their privacy practices or the content they publish. Review their privacy policies before providing personal information to them.

12. Changes to this policy

We may update this Privacy Policy from time to time. The "Last updated" date at the top of the page indicates when the policy was most recently revised. If we make material changes, we will provide additional notice, such as a banner on the website or an email to registered users, before the change takes effect. Your continued use of the website after a change constitutes acceptance of the updated policy.
